1. Using your mouse cursor click on the Application for Participation with the right mouse button.

2. When a small menu box appears choose the command „Save Target as...“ in it and save the Application to your computer.

3. Fill in the Application you‘ve saved.

4. Filled Application must be sent as an attachment to the e-mail address mentioned above.

There is no possibility to send the Application by e-mail correctly if it is not saved to your computer first!

Registration to the fair and participation

General definitions

Participant – an enterprise or organization taking part in the Trade Fair.
Exhibitor – participant of the Trade Fair who has submitted an application to take part in it.
Co-exhibitor – participant of the Trade Fair who is registered in the Exhibitor’s application and is taking part in the Fair by using exhibition space, rented by Exhibitor.
Exhibition space – place ordered by Exhibitor and leased to him.
Kind of exhibition space means empty place or a place with standard equipment or open air-space.
Type of exhibition space means a stand in a line, a two-sided open stand, a three-sided stand or an island-stand.

Registration of application

The Exhibitor shall send to the Organiser a filled application by electronic means expressing his desire to participate in the Trade Fair to the indicated e-mail for processing. Application for rent of exhibition space is submitted on the Organiser’s Internet site or it will be sent to you by e-mail after your request is received at the indicated e-mail address.
If the Organiser has no possibilities to offer the desired exhibition space to the Exhibitor, the Organiser will correct the size of the selected exhibition space, its configuration, type or kind and will send his offer to the Exhibitor’s e-mail address as indicated on the application.
The Exhibitor shall print out two copies of the application corrected by the Organiser and shall send two signed and stamped copies back to the Organiser by registered mail. By signing an application for participating in the Trade Fair, the Exhibitor confirms his intention and assumes liability to fulfil the provisions herein and General Terms and Conditions of participating in Organiser’s trade fairs. The Exhibitor shall be fully responsible for the application that has been signed by a duly authorized person and stamped with an official stamp.
Applications are registered. Exhibition space may be selected after having paid registration fee of 105 € + 18% VAT. The registration fee includes Exhibitor passes, invitations and a copy of the catalogue.

Application deadline

Applications shall be submitted before February 15, 2007. The Organiser will decide whether applications, submitted after the expiry of the term, might be accepted.

Co-exhibitors

Every Exhibitor can admit into his stand Co-Exhibitors (other companies) after having registered them in his Application for participation. The Exhibitor is obliged to pay Co-Exhibitor's fee to the Organiser. The Co-Exhibitor fee is 58 € + 18% VAT per company. This fee includes additional exhibitor passes, invitations to the fair and invitations to the soiree.

The rental charge for exhibition space in accordance with type of the exhibition space and the hall is:

In the 1st and 4th Halls – 70, 71, 72,5 and 74 € + 18% VAT for 1 sq.m.

In the 6th Hall – 63, 64, 65,5 and 67€ + 18% VAT for 1 sq.m.

This charge includes organization of the Fair, extensive promotion to attract visitors, general lighting, cleaning of the walkways. The exhibition space does not include any equipment, furniture, and electricity.

The booth exhibition space apart all general services includes the standard stand equipment: exhibition system, demarcation walls, 2.5 m high, white coloured, carpet cover, 1 socket 220V/1kW, 1 spot light every 3 sq. m, company name in standard type (up to 20 signs), 1 table, 3 plastic chairs.

The additional standard stand equipment rental fee 23 € + 18% VAT for 1 sq. m.

Advertisement, conferences and entertainment

Exhibition catalogue

Official BMT 2007 fair catalogue will be issued as traditionally. The catalogue will be distributed during and after the fair till BMT 2008. Entry to the catalogue for exhibition companies is obligatory.
Information to the catalogue should be sent together with application for participation.
If logo or advertisement to the catalogue is ordered, it should be sent per e-mail BMT@visusplenus.lt. Each logo and advertisement should be sent in separate e-mail (subject of e-mail should be: BMT 2007 logo (advertisement) ***, where *** is participant’s company name).

Advertisement at exhibition grounds

Advertising is free of charge within Exhibitor’s stand only. Any advertising outside the stand will be charged and must be approved by the Organiser.

Acoustic publicity at stands

The written consent of the Organiser must be obtained in advance if the Exhibitor shall plan acoustic publicity of any kind. Seeking to maintain the rhythmic flow of the exhibition, the Organiser shall be entitled to restrict any kind of acoustic publicity or to ban it completely. The loud in Exhibitor‘s stand should not exceed 85 decibels.

Conference hall and equipment rental

During the working hours of the Fair you are welcomed to organise conferences, corporate and product presentations, seminars, etc.

Payment conditions

The Organiser shall confirm participation in the Trade Fair by sending one copy of application to the Exhibitor together with an invoice for advanced payment at the address indicated on the application or by fax. The Exhibitor pays for his participation in the Trade Fair the following way: registration fee is paid after submitting the application, 30% of the remaining amount, as indicated on the invoice, shall be paid in 10 days after the participation in the Trade Fair is confirmed, and the rest shall be paid not later than at least 2 weeks before the beginning of the Trade Fair.
VAT pro-forma invoice shall be handed to the Exhibitor’s representative during the Fair.

Early Registration

If the Exhibitor sends an application for participation before February 5, 2007, he will receive a 5% discount for participating in the Trade Fair. If payment for participating in the Trade Fair is not included in the Organiser's account by February 7, 2007, the Organiser shall recalculate the price for Exhibitor's participation in the Fair.

Approval of projects

If the Exhibitor orders floor space only, till 2 March, 2007 detailed plan of the stand must be presented to the Organiser specifying places of connections of power, water and telephone line, constructions to be used, their dimensions and detailed description as well as technical documentation. Stand builder must send the plan by fax +370 5 2124124 or e-mail arch@expoline.lt. For more information please contact our official subcontractor + 370 5 233 0929.
The permission of the Organiser must be obtained before assemblage of the stand. Such permission shall be granted if the stand design and equipment used correspond to the general layout and design of the exhibition, as well as technical and fire prevention regulations.
In case the Exhibitor deviates in the assemblage of the stand from the construction permitted, the Organiser is entitled to ban further assemblage and even remove the stand at the expense of the Exhibitor. If the stand cannot be restored to an approved state within a reasonable time period, the Exhibitor is still liable for the payment of full rental amount and to reimburse damages to the Organiser.

Price increase for the late orders

Please pay attention to the fact that Exhibitor ordering any additional constructions and services later than 5 days before the exhibition, will be required to pay 100% more.

Montage passes

Arriving to exhibition centre grounds for mantling of their stands, Exhibitors have to contact Security Department, Mr. V. Astrauskas, ph. +370 5 268 6877, e-mail vitalijus@litexpo.lt. Please prepare a list with technicians’ names for the Department. According to the list you will receive Montage passes for your representatives. The permission of the Organiser must be obtained for to receive montage passes.

During the Fair, as well as during delivery and removing of exhibits periods, the participants and stand service staff are entitled to enter the fair grounds upon presenting exhibitor passes. The Exhibitor who has paid his exhibition space rental charges will obtain free entrance cards in accordance with the purchased space. Also every Co-Exhibitor will obtain particular number of free entrance cards. Additional entrance cards may be purchased by a written order. The price for additional Exhibitor pass is 4 € + 18 % VAT. See Application for Participation.

Invitation to the fair

Every Exhibitor and Co-Exhibitor will obtain a limited number of invitation cards free of charge. Invitation cards entitle to a free entrance to the Fair. The number of invitation cards depends on the purchased exposition space. Every Participant is entitled to some invitations to the Fair as follows:

As traditionally, the Organiser invites the Participants and the guests to a Soiree on the exhibition opening evening. Every Participant is entitled to some invitations to the Soiree as follows:

Parking passes

At the Exhibitors’ registration before the fair you will be provided with parking passes. Each Exhibitor is supplied with 1 parking pass.

Cancellation of participation

Exhibitor may cancel his application for participation before 31 January, 2007. Exhibitor shall inform the Organiser about such a decision in writing (by registered mail). In this case, paid registration fee shall not be returned.

Having refused to participate in the Trade Fair and having informed the Organiser about it in writing (by registered mail) before 20 February, 2007, the Exhibitor shall pay the Organiser 30% of price for participation.

After the expiry of the term or in case of a no-show at the Trade Fair, the Exhibitor shall have no right to terminate the contract and shall pay the entire price for participating (100%) in the Trade Fair.

Security

The Organiser provides general security of the Fair premises and do not take any liability for any damage of exhibits or theft.
Exhibitors are advised to take out liability insurance for any loss, destruction or other damage of exhibits for the period of the exhibition, mantling and dismantling.
Due to the security of stands as well as exhibits we suggest participants or at least one representative of the company to arrive to the stand not later than 9.30 a.m.
At the end of exhibition working day we kindly ask one representative to stay at the stand till 6.30 p.m. (at 6.30 p.m. all the people leave halls). We recommend leaving small things in offices – they have to be locked and sealed. The same should be done with glass showcases. At the time of leaving your stands after the end of exhibition working day, please, paste the stand entrances with sticky tape. In the evening of the 21st  March we recommend to one representative of the company to stay at the stand until the hall is locked.
We recommend removing the exhibits directly after closing of the exhibition – on 25th of March, from 4.00 p.m. till 8.00 p.m. If there is no possibility to do it on above mentioned day, please leave the exhibits packed in boxes and wrap them with sticky paste. At 8.00 p.m. please inform the Security department of LITEXPO exhibition centre about your stand and exhibits packed in boxes. Until then one representative of the company should stay at the stand. You will be able to take your things on the 26th of March, from 8.00 a.m. till 5.00 p.m.
We would like to warn you that it is forbidden to smoke at the stand and premises of LITEXPO.
Please follow fire prevention requirements.

Loading of exhibits. Customs clearance

Loading and unloading, handling of the exhibits in the Fair is made by Participant. Loading and unloading could be provided by official subcontractor of Organiser and paid separately. The Participant is duly responsible for the obtaining of all permits and transportation of exhibits. In all transportation documents for the goods delivered for the temporary import to the Trade Fair must be specified: Consignee:

Every cargo must be accompanied with Proforma Invoice, in which must be specified: denomination, quantity, weight, value. Customs clearance procedure will be provided by official customs broker appointed by the Organiser:

All additional charges are payable by the Exhibitor accordingly to the invoice presented.
The Exhibitor/ Co-exhibitor bears responsibility for pursuance, violations and contempt of law and legal acts in force of the Republic of Lithuania.

Arrival and registration

At the Exhibition centre the Exhibitor have to register itself at the Info-Centre stand. Only if the payment is made fully the Exhibitor is permitted to its stand. At Info-centre the Exhibitor is given exhibitors passes and all detailed information about the services, established order, etc.
